Getting your hours approved
Send your client hours, supervision and personal therapy to the right person to approve, by email, with no account needed on their side.
Your course needs someone to confirm the hours you log. In Approvals you choose the records, and we email the right person a link to review them.
Who approves what
| What you send | Who reviews it |
|---|---|
| Client hours | Your placement manager and your supervisor |
| Supervision | Your supervisor (peer group sessions aren’t included) |
| Personal therapy | Your personal counsellor |
| CPD & training | Your placement manager (placement training for now) |
Their names and emails come from your placements, supervisors and personal counsellors, so add those first.
Send records for approval
- In the menu, open Approvals.
- Choose a card, for example Client hours. Each card shows how many records are waiting to be sent, waiting for a reply and approved.
- Under To submit, tick the records you want to send, or use Select all.
- If asked, choose which supervisor or placement manager it goes to.
- Press Send submission.
Sessions in the future, and client sessions with no outcome recorded yet, can’t be sent until they’re complete.
What the reviewer sees
They get an email asking them to confirm your records. The link works once, needs no account, and lasts 14 days. For each record they choose Approve or Needs revision, and can add a comment. They only see dates, lengths and client aliases, never your notes.
When they reply
We email you, and the Approvals page shows what was approved and what needs revision. Approved hours count towards your approved total.
If something needs revision, read their comment, fix the record, and send it again from the Needs revision tab. If you change a record after it was approved, it goes back to To submit so it can be checked again.
If a link runs out before they reply, the records go back to To submit and you can send them again.
A signed paper copy instead
If your reviewer signed a paper form, choose I have a signed paper copy instead, say who signed it, and upload a photo or PDF (up to 10 MB). Those records are marked as approved on paper.
