Who we are
ForCounsellors is the trading name of ForCounsellors Ltd, a company registered in England and Wales (company number 17316199). We build software for counsellors and counselling students. ForCounsellors Ltd is the data controller for the personal data described on this page. You can reach us at hello@forcounsellors.com.
This notice covers this website, and the access logs of the counsellors' websites we host (see "Visiting a counsellor's website" below). When the ForCounsellors platform opens, practitioners and their clients will be covered by a separate platform privacy notice, which you will see before you create an account. That notice will explain our role as a data processor in full, but because it's a fair question to ask before then, we set out the position below.
Practitioners, their clients, and who controls the data
If you're a counsellor or a practice and you use the ForCounsellors platform to manage your caseload, you are the data controller for your own clients' personal data. You decide why and how it's processed, and your clients should come to you, not us, if they want to see, correct, or delete their records.
ForCounsellors Ltd will be a data processor for that data. We'll only process it on your instructions, for the purpose of running the platform for you, and never for our own purposes. That means we will:
- keep your clients' data confidential, and make sure everyone working for us does too
- put proper technical and organisational security measures in place to protect it
- only bring in another company to help us process it with your authorisation, and hold them to the same standards
- help you respond if a client asks to see, correct, or delete their data
- tell you promptly if we become aware of a data breach affecting it, and help you meet your own notification duties
- delete or return everything we hold for your practice when our agreement ends, whichever you prefer
- give you what you need to check we're meeting these obligations
This is what UK GDPR requires of a processor under Article 28. We'll set it out formally in a data processing agreement with your practice, and in full detail in the platform privacy notice, before any client data is processed through ForCounsellors. Once we've confirmed which services we'll use to run the platform, we'll list them there too, along with any safeguards for data leaving the UK.
Registering your interest
If you register your interest, we store the name and email address you give us, the date and time you signed up, and the version of this notice that was in force at the time. We use these to tell you when the platform launches and to send occasional updates about ForCounsellors. Our lawful basis is your consent, which you give by submitting the form.
You can withdraw that consent at any time by emailing hello@forcounsellors.com. We will remove you from the list and confirm when it is done. We keep your details until you ask us to remove them or until the launch communications are complete, whichever comes first.
Keeping the form honest
The form is protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than an automated script. To do that, Cloudflare processes technical information about your browser and connection, including your IP address, under its own privacy policy. Cloudflare may process this outside the UK under appropriate safeguards.
We also keep a temporary count of submissions from each IP address for about an hour, to stop the form being flooded. That count is deleted automatically and is never linked to the details you submit.
Visiting the site
This website is hosted in the United Kingdom on Amazon Web Services. As with any website, the hosting provider may record technical information such as your IP address, browser type and the pages you request in short-lived logs used for security and reliability. We do not use that information to identify you.
We use Cloudflare Web Analytics to understand how the site is used. It records the page you viewed, the page you came from, your browser and device type and your country, and reports them to us only in aggregate. It sets no cookies, stores no IP addresses and does not track you across other sites. Cloudflare processes this data under its own privacy policy, and may process it outside the UK under appropriate safeguards. The site sets no cookies in normal use. If you follow a preview link we have sent you, one functional cookie remembers which version of the site to show you for thirty days; it holds no personal data.
Visiting a counsellor's website
Counsellors' websites on ourroom.uk, quiethour.uk, yourhour.uk and fcou.uk are hosted by us on Amazon Web Services in the UK. As with any website, each request is recorded in access logs: your IP address, browser type, the page requested and the page you came from. We keep these logs for 35 days for security and reliability, and once a night we use them to count visits for the counsellor, who sees only daily totals, never who visited. These sites set no cookies.
Contacting us
If you email us, we hold your message and our reply for as long as we need to deal with it and keep a record of the conversation. Our lawful basis is our legitimate interest in responding to enquiries.
Your rights
Under UK data protection law you can ask us for a copy of the personal data we hold about you, ask us to correct or delete it, restrict or object to how we use it, and ask for it in a portable form. Where we rely on consent you can withdraw it at any time. To exercise any of these rights, email hello@forcounsellors.com. We aim to respond within one month.
These rights cover the personal data described in this notice, which is limited to your interest registration and your visit to this website or to a counsellor's website we host. If you are the client of a counsellor or practice that uses ForCounsellors, your counsellor or practice is the data controller for your records, so please get in touch with them directly rather than us.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would welcome the chance to put things right first.
Changes to this notice
We will update this page when our practices change and revise the date at the top. If a change affects how we use details you have already given us, we will tell you by email.
