Uploading evidence to Documents

Keep your DBS, insurance, placement contracts and certificates in one private place, and see at a glance what's about to run out.

Documents is your private store for the paperwork your course and placement ask for: your DBS, insurance, professional body membership, placement contracts, certificates and so on. Only you can see what you upload.

Upload a document

  1. In the menu, open Documents.
  2. Choose Add document.
  3. Give it a Title and choose a Category, for example DBS, Insurance or Contract.
  4. If it relates to something specific, use Linked to to attach it to a placement, a supervisor, a CPD entry or a client. Leave it as “None (my own document)” for your own paperwork.
  5. If it runs out, fill in Valid until, so you can see when it needs renewing.
  6. Choose the file and press Save.

You can upload PDFs and pictures (PDF, PNG, JPG or WEBP), up to 10 MB each. A photo of a paper certificate taken on your phone is fine.

Keeping track

Each document shows whether it is Current, Expiring soon (within 30 days) or Expired. A document with no Valid until date always shows as current.

Documents linked to a placement, supervisor or client also appear on that record’s own page.

To replace a file, open the document and choose Edit. If you only want to change the details, leave the file empty and the one you uploaded stays.

Documents and getting your hours approved

Documents is for your own records. The people who approve your hours (your placement manager, supervisor or personal counsellor) do not see it. When you ask one of them to approve your hours, you add any evidence in Approvals itself.
