Recording placement hours

Add your placement, then log each client session against it. Your clinical hours add up on your dashboard as you go.

Your placement hours come from the client sessions you log. You set up the placement once, add each client with their alias, and then log a session every time you see them.

1. Add your placement

  1. In the menu, open Placements.
  2. Choose Add placement.
  3. Enter the Placement name. Everything else is optional, but it helps to add your start date and your Placement manager (sometimes called a mentor).
  4. Choose Add.

Your placement manager is one of the people who can verify your client hours. We only use their email when you ask them to verify hours, and they only ever see the date, the length and the client’s alias. They never see your notes.

2. Add a client, by alias only

  1. Open Clients and choose Add client.
  2. Give the client an alias: a code, never their real name. If you leave it blank, we make one up for you.
  3. Under Placement, pick the placement this client is part of.

3. Log each session

  1. Open the client and, under Sessions, choose Log client hours.
  2. Fill in the date, the start time and the length, and how you met (face to face, online or telephone).
  3. Set the Outcome. Only sessions marked Attended count towards your hours.
  4. Save the session.

Each attended session counts as one client hour, whatever its length. Sessions where the client did not attend or cancelled late are kept on record but count as zero.

If you write a theme or notes, keep the theme to the main topic only, with no details that could identify the client. Your notes are private to you and are never shared.

Where to see your total

  • Your Dashboard shows Clinical hours as “X of Y” with a chart of the last 12 weeks, and whether you are on pace to finish by your course end date.
  • Placements shows a card for each hours requirement on your course, with how many you have logged and how many to go until your next milestone.

When a placement ends

Open Placements and choose End placement next to it, then give your last day. Its hours stay on your record; you just can’t add new sessions to it.
